Reimbursement Claims — Overview
For WAKR members.
If you've spent your own money on behalf of WAKR — or you're owed a subsidy such as a dan registration fee — you can claim it back through the portal. This page explains the idea; the other two guides cover the My Claims dashboard and making a claim.
What you can claim
- Money you paid on WAKR's behalf (equipment, venue, printing, catering, etc.).
- Subsidies you're entitled to (e.g. a dan grading registration fee).
Keep your receipts — you'll attach them to the claim.
Two ways to lodge a claim
- If you have a WAKR login: sign in and use My Claims.
- If you don't: go to the claims page, enter the email address on your WAKR membership, and we'll email you a secure one-time link to lodge a claim — no account or password needed.
Either way, use the same email that's on your membership so we can match you.
What happens after you submit
- You submit the claim with your expense lines, receipts, and where to pay you.
- Two committee members review and approve it (the bank requires two signatories, so a claim is a record of an approved expense — not an instant payment).
- Once approved, the Treasurer pays you by bank transfer and records it against the right account or event.
You can watch the status change on the My Claims dashboard the whole way through.
Good to know
- Your bank details are held only until you're paid, then removed — they're never shown to other members.
- Claims usually need to be lodged within a set window of the expense; if you're outside it, contact the Treasurer.
